This privacy policy explains how clearhead.in ("Clearhead," "we," "us") collects, uses, stores, and protects your personal information. Clearhead is a coaching and counselling practice operated by Vaibhav, based in Lokhandwala, Andheri West, Mumbai 400053, Maharashtra, India.
By using this website or engaging with our services, you agree to the practices described below. If you do not agree, please do not use this website or submit any personal information through it.
What we collect
We collect only what is necessary to respond to your enquiry and deliver our coaching and counselling services. This includes:
Information you provide directly: your name, email address, phone number, and anything you write in a form on this site. That covers the contact form, the fit quiz (your quiz answers are collected to help work out whether coaching or counselling is a suitable fit for you), the pre-call screening questions, the client onboarding form, and the email gate on the free tools.
Screening and onboarding answers: before you book a free call, a short set of questions asks what you are looking for, whether you have had treatment for a mental-health condition, and whether you are in crisis or having thoughts of harming yourself. If you become a client, the onboarding form asks for more detail of the same kind (for example previous treatment, medication, and an emergency contact whose details you give on their behalf). This is health-related information and you choose what to answer. It is used to check that coaching is safe and suitable for you, to prepare for our conversation, and, if needed, to point you to better support. The answers reach me through this site's form handler (Netlify). For the pre-call questions, a short summary is also passed to Cal.com as booking notes: your name, email and phone number, what you are looking for, whether you have had treatment, any note you chose to write, and, if you have paid, your package and payment ID.
Free tools: your answers stay in your browser while you use a free tool. If you choose to unlock the full results with your email, your name, email, answers and result are sent to me, and I may reply about them. Nothing is sent if you do not unlock.
Booking data: when you book a session, your booking details (name, email, selected time slot, and any notes you add) are processed through Cal.com, our scheduling platform. Cal.com may collect additional technical data as part of the booking process. Their privacy policy governs that data.
Payment data: payments are processed through Razorpay. We do not collect, store, or have access to your full card number, bank account details, or UPI credentials. Razorpay handles all payment information directly and is PCI-DSS compliant. We receive a confirmation of the transaction (payment and order IDs, amount, package, date and status) together with the email address and phone number you gave Razorpay at checkout. I use that email address to send you a payment confirmation with a link to book, and I am notified of each payment with those details. The site also saves a short record of the payment (package, IDs and amount) with its form handler (Netlify).
Technical data: like most websites, clearhead.in may log basic technical information such as your IP address, browser type, device type, and pages visited. This data is collected automatically and is used solely to keep the site running and to understand how it is used in aggregate. We do not use this data to identify or profile individual visitors.
Stored on your device: the site uses your browser's local storage (not cookies) for three small things: your yes-or-no answer about analytics (remembered for 180 days); after a payment, the package and payment reference, so that the booking step still works if you refresh or come back (kept for 45 days); and, once you finish the onboarding form, a note that you have done so. These stay on your device and are not sent anywhere by themselves. You can remove them at any time by clearing this site's data in your browser.
How we use your data
Your personal information is used strictly for the following purposes:
To respond to your enquiry: when you use a form on this site, we use your name, email, and phone number to get back to you. To check fit and safety: your screening and onboarding answers help me decide whether coaching is suitable and safe for you, and to prepare for our conversation. To schedule and deliver sessions: booking data is used to confirm and manage your coaching or counselling sessions. To process payments: transaction data from Razorpay is used to confirm that payment has been received for your chosen package. To improve the website: aggregate, anonymised technical data may be used to understand how the site is used and to fix issues.
We do not use your data for marketing, advertising, newsletters, or any purpose beyond what is described above. We do not sell, rent, or trade your personal data. Ever.
Third-party services
Clearhead uses a small number of third-party services to operate. Each has its own privacy policy, and we encourage you to review them:
Cal.com is used for session booking and scheduling. When you book through Cal.com, your booking details are processed on their platform. See cal.com/privacy.
Razorpay is used for payment processing. All payment data is handled directly by Razorpay and is subject to their security and privacy standards. See razorpay.com/privacy.
WhatsApp may be used by me, with your consent, to message you on the number you gave in a form, for operational messages only (confirming a booking, rescheduling, session reminders). I do not offer support or coaching over WhatsApp. WhatsApp messages are end-to-end encrypted but are subject to Meta's privacy practices. We do not store or analyse WhatsApp content separately. Netlify is used as the hosting provider for clearhead.in, and its form handler receives what you submit in the forms on this site. Submissions are stored there until I delete them. Standard server logs (IP, timestamp, page requested) are kept for security and abuse prevention. See netlify.com/privacy.
Resend is used to send the payment confirmation email. It receives the recipient's email address and the content of that email. See resend.com/legal/privacy-policy.
Google Fonts, Google Maps and Unsplash. Pages load their typefaces from Google Fonts and most blog pictures from Unsplash's image servers, and the contact section and the Andheri West page show an embedded Google Map. Loading any of these sends your IP address and browser details to the provider, whether or not you accept analytics. The embedded map may also set Google's own cookies. Several of these services (Netlify, Cal.com, Resend, Google, Unsplash and Meta) process data on servers outside India.
Google Analytics is used to count page visits, and only if you agree to it. The first time you visit, you'll be asked a plain yes-or-no question. If you decline, or if your browser sends a "Do Not Track" or Global Privacy Control signal, the Google Analytics script is never loaded and no analytics data leaves your browser. If you agree, Google receives anonymised page-visit data with your IP address truncated, along with simple action data (for example that a tool was completed or a booking page was opened). It never receives your name, email or answers. Advertising and ad-personalisation features are switched off permanently, so this data is never used to build an advertising profile of you. Your choice is remembered for 180 days, and you can change it any time by clearing this site's data in your browser. See policies.google.com/privacy.
We run no tracking pixels and no advertising scripts of any kind on clearhead.in.
Session confidentiality
The content of your coaching and counselling sessions (what you say, what we discuss, and the notes, if any, that emerge) is entirely separate from this privacy policy. Session confidentiality is governed by ICF (International Coaching Federation) ethics and professional counselling codes. Nothing from your sessions is shared with anyone without your explicit written consent, apart from the narrow exceptions below. This is a professional and ethical obligation that goes beyond any data protection measure.
Narrow legal exceptions
Confidentiality has only the narrow exceptions that all responsible coaching and counselling practices carry. We may need to disclose information without your prior consent only if:
- There is a clear and imminent risk of serious harm to yourself or to another identifiable person (including a child or vulnerable adult), and disclosure is necessary to prevent that harm.
- We are compelled by a court of competent jurisdiction in India through valid legal process.
These are extreme exceptions. In ordinary practice, nothing leaves the room. Anything else is shared only if you ask for it in writing (for example, a disclosure to your employer's L&D programme, a medical professional, or a family member).
Cookies
Clearhead.in itself sets no cookies unless you accept analytics. If you do, Google Analytics sets its own measurement cookies; if you decline, or ignore the question, none are set. We use no advertising or profiling cookies in either case, and we never will.
A small record of your yes-or-no answer is stored in your own browser so you aren't asked again on every page. It stays on your device, and is never sent anywhere.
Other cookies may be set by the services that handle booking and payment (Cal.com and Razorpay) at the point you use them, and by the embedded Google Map when it loads. The booking and payment cookies are strictly functional, not for profiling or marketing. Google's cookies on the map are governed by Google's policy, linked above.
Data retention
Form submissions (name, email, phone, message, and quiz, screening, onboarding and free-tool answers) are retained only for as long as needed to respond to your enquiry and, if you become a client, for the duration of our professional engagement. Once the engagement ends, your contact details are retained for a reasonable period (up to 12 months) for record-keeping purposes and are then permanently deleted unless you request earlier deletion.
Payment records may be retained for up to 8 years to comply with Indian tax and accounting regulations.
Session notes, if any are created during coaching, are handled separately under session confidentiality (see above) and are deleted at the conclusion of the engagement unless you request otherwise.
Your rights under India's Digital Personal Data Protection Act, 2023 (DPDPA)
As a data principal under the DPDPA, you have the following rights:
Right to access: you can request a summary of the personal data we hold about you and how it is being used.
Right to correction and erasure: you can ask us to correct inaccurate data or delete your personal data entirely. We will comply unless retention is required by law (for example, tax records).
Right to grievance redressal: if you believe your data has been mishandled, you have the right to raise a complaint with us directly, and if unresolved, with the Data Protection Board of India.
Right to nominate: you may nominate another person to exercise your data rights on your behalf in the event of your death or incapacity, as provided under the DPDPA.

Data security
We take reasonable measures to protect your personal information from unauthorised access, loss, or misuse. This includes using secure, encrypted connections (HTTPS) on clearhead.in and relying on reputable, security-compliant third-party services (Cal.com and Razorpay) for booking and payments.
However, no method of electronic transmission or storage is 100% secure. While we do our best, we cannot guarantee absolute security of data transmitted over the internet.
Children's data
Clearhead's services are intended for adults (18 years and older). We do not knowingly collect personal data from anyone under the age of 18. If you believe a minor has submitted personal information through this site, please contact us and we will delete it promptly.
Changes to this policy
This privacy policy may be updated from time to time to reflect changes in our practices, third-party services, or applicable law. When we make changes, the "last updated" date at the top of this page will be revised. We encourage you to review this page periodically. Continued use of clearhead.in after any changes constitutes your acceptance of the updated policy.
